Renewing your insider status at Guidefitter
What is needed for me to renew my insider status at Guidefitter? How often do I need to do a renewal? These are questions we hear often at Guidefitter. Renewing an insider’s status is a key function in making sure you are getting the discounts you deserve, and one that we take seriously.
There are a few insider groups that only need to verify their status once, after that, in most cases, they never have to renew again. This is typical for veterans of the military or retired law enforcement. Their status as a veteran or a retiree never changes, so there is no need for an individual to update this annually.
For the other insider categories, we have at Guidefitter renewal is simple, but must be done annually. We do this to ensure that an individual still qualifies for the pro-programs offered by our brand partners. The driving force behind the annual renewal is the fact that life happens, and an individual’s status may change due to a change in jobs, a move, or a myriad of other reasons.
Each insider category is different, and as such, we will need different information from them when renewing. In most situations, if a document has been utilized in the past for verification or renewal, it may not be used again. For example, if a law enforcement officer utilizes an updated ID card for verification, it may not be used again for renewal unless the employer has changed or the position has changed. This is done to ensure the individual’s status is current and up to date. Below is a list of what we are looking for when it comes time for you to submit supporting documentation;
Guides and Outfitters
Guides and Outfitters can provide any two of the following;
- Copy of current season Guide or Outfitter License
- Brochure promoting your hunting business with your name listed with current year rates
- Copy of current year liability insurance / Proof of Business Insurance
- Recent pay stub in the last 60 days. Tax information from the previous year will not work.
- Official signed and dated letter from your employer stating your hunting/fishing guide position no longer than 30 days from the current date.
- Email from your outfitter to support@guidefitter.com confirming your guide position with them for the upcoming season.
- Active US Forest Service and/or BLM permits
- Current Membership in state/province guide association
- An active website promoting the Outfitting Business with your name shown. Social media will work, but it must be current and up-to-date.
Military
Active Duty, Reserve, and National Guard personnel can provide any of the following documents;
- A letter with official header and signed by your superior, attesting of your affectation
- A recent pay stub (LES) issued in the last 60 days
- An email from your active military email address
- Any other formal document you could use for verification
Veteran/Retired Military
Retired military or Veteran members can provide any one of the following;
- DD214 member-4 with the character of service displayed (feel free to cover any sensitive data)
- Veteran/Retired ID
- VA ID Card
- Driver's license with Veterans status
- Any other formal document you think we could use as proof of your veteran or retired status
First Responders
First Responders can provide any of the following;
- First Responder ID issued by the employer with a position and date if possible
- Recent pay stub no more than 2 months old, feel free to cover any sensitive data
- An official letter from your employer no more than 1-month-old
- An email from your department email address to show you are an employee there. Please make sure to include your email that is associated with your account in the body of the email so we attach it to the correct profile.
Outdoor Government Employees
Employees of outdoor government agencies need to provide any of the following documents;
- A current pay stub indicating the current position/duty description
- A signed letter from their supervisor indicating their position
- An active email address from their agency’s domain (individual will be sent a confirmation email to the provided email address)
Brand Employees and Reps
Employees that work directly for an outdoor brand can use any of the following;
- Recent pay stub
- Email from the domain of that company (the individual will be sent a confirmation email to the provided email address).
- An email from the work email to support@guidefitter.com
Conservation/NGO Employees
Employees can send any of the following;
- A recent pay stub (if available)
- A letter of employment from the agency/organization
- A confirmed email from the domain for the agency/organization
Outdoor Educators
- Instructors can submit either a current certification or a letter from the state/organization confirming their affiliation.
Retail Associates and Buyers
- Associates can submit a recent pay stub from their employer confirming their status.
Overall we want your renewal process to be a stress-free event. There are times when Guidefitter will request additional documentation to confirm your status; typically this is because the documents are not legible on our end, there is not enough data to confirm your current status, or the supplied information is a duplicate of a previously submitted document.
